Who we are
Chale Abbey Studios Ltd is the data controller for the personal information collected through this website. Our registered company number is 08084016, registered in England and Wales.
If you have any questions about this policy or how we handle your data, please contact us at hello@chaleabbeystudios.com.
What data we collect and why
We collect personal data in the following ways:
Contact form — when you send an enquiry through our website, we collect your name, email address, phone number (if provided) and the content of your message. We use this information to respond to your enquiry and, where a booking results, to manage the business relationship with you.
Legal basis: legitimate interests (responding to a genuine enquiry from someone who has chosen to contact us).
Booking schedule — when you complete our booking confirmation form, we collect your name, email address, phone number, artist or project name, session details, and invoicing information. We need this data to confirm your booking, issue invoices, and fulfil our obligations as a recording studio.
Legal basis: contract (the data is necessary to perform the services you have booked).
Newsletter — if you subscribe to our mailing list, we collect your email address. We use it to send you occasional studio news and updates.
Legal basis: consent (you opted in when subscribing). You can unsubscribe at any time using the link in any email we send, or by contacting us directly.
How we share your data
We do not sell or rent your personal data. We use the following third-party services to operate our website, and your data may be processed by them in the course of providing those services:
- Formspree — our contact and booking forms are processed by Formspree Inc. Form submissions are transmitted to and stored by Formspree on our behalf. Their privacy policy is available at formspree.io/privacy.
- Mailchimp (Intuit Inc.) — our newsletter mailing list is managed by Mailchimp. When you subscribe, your email address is stored by Mailchimp and used to send you the communications you've opted into. Their privacy policy is available at mailchimp.com/legal/privacy.
Both Formspree and Mailchimp act as data processors on our behalf, and both operate under terms that require them to keep your data secure and use it only for the purposes of providing services to us.
We may disclose your data if required to do so by law or in response to a valid request from a law enforcement authority.
How long we keep your data
- Enquiry data — contact form submissions are retained for up to 12 months, unless the enquiry leads to a booking.
- Booking and invoicing data — records relating to confirmed bookings are retained for 7 years in accordance with UK accounting and tax obligations.
- Newsletter subscriptions — we hold your email address for as long as you remain subscribed. You can unsubscribe at any time.
Cookies
This website uses a small number of cookies necessary for the secure operation of our contact and booking forms. We do not use analytics, advertising or tracking cookies. For full details, see our Cookie Policy.
Your rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Access — you can request a copy of the personal data we hold about you.
- Rectification — you can ask us to correct inaccurate or incomplete data.
- Erasure — you can ask us to delete your data, subject to any legal obligations we have to retain it.
- Restriction — you can ask us to limit how we use your data in certain circumstances.
- Portability — where we hold data you provided to us on the basis of consent or contract, you can ask us to provide it in a machine-readable format.
- Objection — you can object to processing carried out on the basis of legitimate interests.
- Withdraw consent — where we rely on consent (e.g. for the newsletter), you can withdraw it at any time without affecting the lawfulness of processing before withdrawal.
To exercise any of these rights, please email us at hello@chaleabbeystudios.com. We will respond within one calendar month.
Complaints
If you have concerns about how we handle your data, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
We would appreciate the opportunity to address your concerns directly before you contact the ICO, so please reach out to us first if possible.
